ABOUT THE ROLE
The Senior Executive Assistant plays a mission-critical role in enabling the CEO to operate at full speed across multiple ventures. This person must quickly understand how he thinks, communicates, and prioritizes, then confidently manage his calendar and inbox with minimal oversight. The role requires strong judgment, speed, and the ability to take action without constant direction. While the CEO may operate fluidly rather than from strict processes, this individual will quietly build structure in the background by documenting workflows and creating clear SOPs so future team members can be onboarded without requiring direct training from him. ROLE RESPONSIBILITIES
1. Inbox Management
Effective inbox management ensures the CEO focuses only on high-value decisions while maintaining fast and professional communication with stakeholders.
Review and triage 60–150 daily emails across accounts
Identify priority messages and respond or escalate appropriately
Draft responses on behalf of the CEO when applicable
Flag urgent items requiring immediate attention
Maintain organized labeling and filtering systems
2. Calendar Management Across Ventures & Time Zones
Strong calendar management protects the CEO’s time, ensures strategic focus, and eliminates scheduling conflicts across multiple businesses and global time zones.
Manage complex scheduling across different ventures
Coordinate meetings across the U.S., Europe, and other international time zones
Ensure correct hosting permissions and meeting logistics
Protect focus blocks and prevent scheduling conflicts
Adjust the calendar dynamically during travel
3. Travel & Event Planning
Precise travel and event coordination allows the CEO to operate efficiently while attending key meetings, conferences, and strategic engagements.
Book international and domestic flights
Arrange hotels, restaurants, and ground transportation
Build structured travel itineraries
Schedule meetings around conferences and events
Coordinate airport pickups and logistics
4. Cross-Team Coordination & Accountability
Clear cross-team coordination ensures projects move forward on time and internal stakeholders remain aligned with the CEO’s priorities.
Track action items from meetings
Follow up with team members on deliverables
Ensure proposals, quotes, and materials are sent on time
Communicate updates between the CEO and the leadership team
Identify bottlenecks and escalate when needed
5. Systems Optimization & AI Integration
Continuous systems optimization improves efficiency, reduces manual work, and supports the company’s growth through smarter workflows and structured processes.
Leverage AI tools to improve email and calendar workflows
Identify opportunities to automate repetitive tasks
Document processes and create clear SOPs
Support the onboarding of team members into AI systems
Continuously refine systems to improve efficiency
6. Light Sales Support & Pipeline Coordination
Strong sales coordination ensures revenue opportunities are not lost due to delays, missed follow-ups, or a lack of structure in the sales process.
Research and identify decision-makers within target organizations
Support appointment setting from curated company lists
Assist with LinkedIn outreach and digital communication workflows
Track active prospects and ensure timely follow-ups
Prepare proposals, presentations, and supporting documents for meetings
Maintain organized tracking of conversations and pipeline status

ROLE QUALIFICATIONS
REQUIRED QUALIFICATIONS
At least 8+ years of proven overall work experience.
4+ years of proven experience in senior executive assistance, operations, high-level administrative support, or in a Staff Role (e.g., Operations Manager, Sr. Executive Assistant, Project Manager, Trainer Leader, and QA Leader).
Proven ability to independently manage a high-volume inbox and complex calendar
Strong decision-making skills and confidence in acting on behalf of an executive
High level of attention to detail, especially with scheduling and logistics
Strong written and verbal communication skills with a professional tone
Ability to identify opportunities to automate and improve manual processes
Comfortable learning and implementing new AI systems quickly
Exposure to AI agents, automation workflows, or prompt engineering
Experience creating documentation and standard operating procedures
Ability to handle confidential information with discretion
Must have own webcam, microphone, and computer (relevant software and subscriptions provided).
Excellent English verbal and written language proficiency (C2 in CEFR Scale).
Access to a quiet work area at home with reliable internet (100 Mbps or more).
PREFERRED ("NICE-TO-HAVE") QUALIFICATIONS
Experience supporting founders or C-level executives
Background in digital media, fitness, SaaS, or technology-driven businesses
Experience managing multi-location travel for senior leaders
Experience working in high-growth or scaling companies
Interest in digital fitness, media production, or emerging technology
ROLE SPECIFICATIONS
Base Salary: Q20,000 base salary.
Role type: Full-time.
Location: Guatemala (Remote - Work from home).
Schedule: Monday to Friday: 6:00 AM - 3:00 PM CST (Some early morning flexibility might be required due to timezones)
RECRUITING PROCESS
Application / Screening: When you apply for this position, we will ask you a short questionnaire to get to know you a little bit better and ask you for some additional inputs to see if you qualify for the position. In addition, we will ask you to complete a short psychometric evaluation and a short English proficiency assessment. The idea is to explore if this is a good fit before moving forward.
Skills Assessment: You will be asked to complete a few exercises and/or projects designed to recreate the work tasks that you will be responsible for if you are given the role. This helps us gauge your skill level as well as give you a better idea of the required work.
Skills Assessment Interview: This is a 60 min - 90 min conversation where we further test your skills, learn about your previous working experiences, and evaluate culture fit to the role and company.
Hiring Manager Final Interview: This is a 30 min - 60 min conversation with the position’s Hiring Manager (and potentially a few company team members) to get to know you better and to set the expectations and vision for the role.
The entire process usually takes anywhere between 2-6 weeks to complete, depending on the seniority of the position.
