ABOUT THE ROLE
This role is a critical first hire for Vibrant Talent Group and will help lay the foundation for growth by supporting key operational and outreach efforts. The Virtual Assistant will provide essential support across data management, sales enablement, and light marketing initiatives. This person will help ensure everything behind the scenes runs smoothly from CRM/ATS upkeep to email list building and process automation. ROLE RESPONSIBILITIES
CRM & DATA MANAGEMENT
Ensure candidate and client data is clean, organized, and actionable within our Bullhorn ATS.
- Enter candidates and clients into Bullhorn with complete, up-to-date details
- Link candidates to jobs after interviews or submissions
- Organize and tag profiles to streamline search and outreach
- Research and log new leads from LinkedIn and other sources into the CRM
- Clean and re-structure disorganized data sets for easy access
- Explore CRM integrations and automations to improve internal workflows
SALES OUTREACH PREPARATION
Support day-to-day business development efforts through research and task setup.
- Identify and research target companies based on active roles and recruiting trends
- Build lead lists and queue up calls, emails, and LinkedIn touchpoints
- Add complete contact information for outreach
- Create and assign follow-up tasks in Bullhorn to support consistent outreach
- Maintain rhythm and cadence for multi-touch outreach (phone, email, LinkedIn)
PROCESS OPTIMIZATION & ADMIN SUPPORT
Help the business run more efficiently through smart systems and operational support.
- Identify opportunities to streamline workflows using tools like Zapier
- Coordinate with Bullhorn support to unlock platform features or solve roadblocks
- Support miscellaneous research and admin tasks tied to recruiting operations
- Proactively communicate status updates and meet internal deadlines
FUTURE GROWTH TASKS - MARKETING & CONTENT SUPPORT
As the Virtual Assistant grows in the role, additional marketing-focused tasks may be delegated.
- Draft and schedule bi-weekly email newsletters using existing templates
- Brainstorm monthly LinkedIn content topics aligned with recruiting goals
- Propose blog or newsletter topics to increase visibility and thought leadership
- Provide light copywriting support for outreach emails or social media
- Assist with organizing and maintaining a content calendar

ROLE QUALIFICATIONS
REQUIRED QUALIFICATIONS
- 1+ year of experience in an administrative, research, or virtual support role
- Strong organizational skills and ability to maintain accurate, structured data
- Experience working with CRMs or databases (experience with Bullhorn a plus)
- Confident using LinkedIn for research and lead generation
- Comfortable navigating or learning tools like Zapier, Google Workspace, and spreadsheets
- Ability to manage multiple tasks and meet deadlines with minimal supervision
- Strong attention to detail, especially with written communication and recordkeeping
- Must have own webcam, microphone, and computer (relevant software and subscriptions provided).
- Excellent English verbal and written language proficiency (C1-C2 in CEFR Scale).
- Access to a quiet work area at home with reliable internet (50 mb or more).
PREFERRED ("NICE-TO-HAVE") QUALIFICATIONS
- Familiarity with the recruiting, marketing, or creative industries
- Experience using Bullhorn or similar Applicant Tracking Systems
- Basic content creation or writing skills for email, blog, or social media content
- Light design ability (e.g., Canva) for visuals and newsletter templates
- Interest in growing into a marketing or business development support function
ROLE SPECIFICATIONS
- Base Salary: Q8,000 base salary.
- Role type: Full-time
- Location: Guatemala (Remote - Work from home).
- Schedule: Monday to Friday: 8:00 AM - 5:00 PM.
RECRUITING PROCESS
- Application / Screening: When you apply for this position, we will ask you a short questionnaire to get to know you a little bit better and ask you for some additional inputs to see if you qualify for the position. In addition, we will ask you to complete a short psychometric evaluation and a short English proficiency assessment. The idea is to explore if this is a good fit before moving forward.
- Skills Assessment: You will be asked to complete a few exercises and/or projects designed to recreate the work tasks that you will be responsible for if you are given the role. This helps us gauge your skill level as well as give you a better idea of the required work.
- Skills Assessment Interview: This is a 60 min - 90 min conversation where we further test your skills, learn about your previous working experiences, and evaluate culture fit to the role and company.
- Hiring Manager Final Interview: This is a 30 min - 60 min conversation with the position’s Hiring Manager (and potentially a few company team members) to get to know you better and to set the expectations and vision for the role.
The entire process usually takes anywhere between 2-4 weeks to complete depending on the seniority of the position.
