ABOUT THE ROLE
This role plays a key part in amplifying the impact of everything Moment is building—primarily within the core physical therapy practice, with some involvement in the Go Getters Coaching and Moment Education brands. As an Appointment Setter, you’ll be the first point of contact for leads coming in through Instagram and warm phone inquiries—helping guide potential clients from content engagement or inquiry to connection, and ultimately, conversion. By managing DMs, comment sections, and follow-up phone calls, your work will directly influence community growth, lead generation, and revenue. ROLE RESPONSIBILITIES
INBOUND DM LEAD MANAGEMENT
Own the daily responsibility of managing DMs across Moment’s Instagram channels to nurture leads and book appointments.
- Monitor and reply to DMs from followers and commenters across 3–4 Instagram accounts
- Qualify inbound leads by asking a structured set of discovery questions
- Transition leads from interest to action (newsletter signups, call booking, cohort enrollment)
- Tag and track leads based on interest type (coaching, physical therapy, education, etc.)
- Identify and escalate high-priority leads to the internal team when needed
PHONE-BASED APPOINTMENT SETTING & FOLLOW-UP
Handle both inbound and outbound phone communication to ensure no lead is left behind.
- Answer inbound calls from leads seeking information or ready to book
- Make outbound follow-up calls to warm leads who filled out forms or previously engaged
- Schedule evaluations and consultations using tools like Calendly
- Maintain accurate notes and lead tracking inside internal systems
- Collaborate with the Head of Operations to ensure proper lead handoff to the clinical team
COMMENT ENGAGEMENT & COMMUNITY MANAGEMENT
Engage with comments and foster community around new and existing content.
- Monitor post comments and engage meaningfully to build relationships
- Encourage commenters to transition into DMs when appropriate
- Acknowledge and thank users who regularly engage with content
- Track comment engagement metrics and report on patterns or trends
SCRIPT & TEMPLATE OPTIMIZATION
Work with the founder to refine DM scripts and discover what's working.
- Use provided message frameworks and personalize when needed
- Test new copy, hooks, and sequences based on campaign goals
- Provide input on message flow, tone, and structure
- Share learnings and insights weekly to help improve conversions
PROCESS IMPROVEMENT & REPORTING
Help build a replicable and scalable outreach system.
- Track all activity and performance using Notion or CRM
- Identify process bottlenecks or gaps in the workflow
- Help document SOPs for future setters
- Communicate regularly with leadership on performance and opportunities

ROLE QUALIFICATIONS
REQUIRED QUALIFICATIONS
- 1–2 years of experience in DM setting, appointment setting, or social media lead generation
- Comfortable using Instagram professionally and confidently managing multiple inboxes
- Experience handling both inbound and outbound calls with warm leads
- Familiarity with lead magnets, coaching funnels, and basic conversion strategies
- Strong written communication and conversational copywriting skills
- Ability to understand tone, voice, and personalize messages appropriately
- Proactive, self-motivated, and capable of managing your own time
- Willingness to test, iterate, and improve scripts based on real-world results
- Must have own webcam, microphone, and computer (relevant software and subscriptions provided)
- Excellent English verbal and written language proficiency (C1–C2 in CEFR Scale)
- Access to a quiet work area at home with reliable internet (50 mbps or more)
PREFERRED ("NICE-TO-HAVE") QUALIFICATIONS
- Prior experience working with coaching, education, or wellness brands
- Familiarity with GoHighLevel CRM, Slack, Notion, and Google Drive
- Interest in physical therapy, entrepreneurship, or online education
- Experience with cohort-based course launches and evergreen content marketing
- Basic understanding of performance-based compensation or lead tracking
ROLE SPECIFICATIONS
- Base Salary: Q8,000 base salary + performance-based commissions.
- Role type: Full-time.
- Location: Guatemala (Remote - Work from home).
- Schedule: Monday to Friday: 8:00 AM - 5:00 PM.
RECRUITING PROCESS
- Application / Screening: When you apply for this position, we will ask you a short questionnaire to get to know you a little bit better and ask you for some additional inputs to see if you qualify for the position. In addition, we will ask you to complete a short psychometric evaluation and a short English proficiency assessment. The idea is to explore if this is a good fit before moving forward.
- Skills Assessment: You will be asked to complete a few exercises and/or projects designed to recreate the work tasks that you will be responsible for if you are given the role. This helps us gauge your skill level as well as give you a better idea of the required work.
- Skills Assessment Interview: This is a 60 min - 90 min conversation where we further test your skills, learn about your previous working experiences, and evaluate culture fit to the role and company.
- Hiring Manager Final Interview: This is a 30 min - 60 min conversation with the position’s Hiring Manager (and potentially a few company team members) to get to know you better and to set the expectations and vision for the role.
The entire process usually takes anywhere between 2-4 weeks to complete depending on the seniority of the position.
